About The Role:
Sweet Spot Media is seeking an organized, proactive, and detail-oriented Marketing Operations Specialist to serve as a dedicated extension of Yokohama Tire’s marketing team while remaining employed by Sweet Spot Media. Working directly alongside Yokohama’s Marketing Manager, this position will function as an embedded member of the marketing department, providing day-to-day operational support across dealer marketing initiatives, marketing materials, promotional programs, vendor management, and project coordination.
This role is designed to provide direct support to the Marketing Manager by managing assigned projects from planning through execution, coordinating with internal departments, outside vendors, agency partners, and ensuring initiatives remain organized and on schedule. Success in this role will be measured by the ability to help Yokohama’s Marketing Manager stay organized, keep dealer marketing initiatives moving forward, and serve as a trusted operational partner within the Yokohama marketing organization. The ideal candidate is highly organized, thrives in a fast-paced environment, enjoys building relationships, and takes pride in keeping complex marketing programs running smoothly.
KEY RESPONSIBILITIES
Marketing Operations Support
- Serve as the primary operational support for the Marketing Manager across assigned marketing initiatives.
- Coordinate multiple concurrent marketing projects while maintaining timelines, priorities, and documentation.
- Prepare presentations, meeting materials, project documentation, and status updates.
- Coordinate project approvals and ensure follow-up actions are completed.
- Maintain organized project records and marketing documentation.
- Assist with product launches, dealer communications, and other marketing initiatives as assigned.
Marketing Materials & Point of Sale
- Manage the day-to-day administration of Yokohama’s Marketing Materials website.
- Coordinate updates to marketing collateral, literature, promotional materials, and dealer resources.
- Track inventory levels of point-of-sale materials and marketing collateral.
- Coordinate production, inventory management, and fulfillment requests.
- Ensure marketing materials remain accurate, current, and readily available for dealer support.
- Monitor usage trends and assist with inventory planning and replenishment.
Dealer Programs, Rebates & SPIFFs
- Assist with the setup, coordination, and administration of dealer incentive programs.
- Coordinate Friends & Family promotions and other rebate initiatives.
- Track dealer participation and program performance.
- Establish and maintain working relationships with rebate administration partners.
- Monitor program timelines and ensure promotional activities are executed accurately.
- Maintain reporting and documentation for dealer incentive programs.
Vendor & Agency Coordination
- Coordinate projects on behalf of Yokohama with Sweet Spot Media, rebate partners, and other external vendors.
- Facilitate communication between internal stakeholders and external partners.
- Ensure project deliverables, approvals, and timelines remain on track.
- Assist with creative reviews and implementation of marketing assets.
- Escalate issues, risks, or timeline concerns to the Marketing Manager when appropriate.
Project Coordination & Process Improvement
- Develop project timelines and monitor progress across assigned initiatives.
- Coordinate meetings, action items, and follow-up communications.
- Identify opportunities to improve workflow efficiency and project organization.
- Assist in developing and maintaining standardized marketing processes and documentation.
- Support reporting and status updates for leadership and cross-functional teams.
Qualifications:
Experience
- 3+ years of experience supporting marketing operations, project coordination, or marketing communications.
- Experience working within a corporate marketing department or marketing agency preferred.
- Experience coordinating multiple projects simultaneously.
- Experience working with outside vendors and cross-functional teams.
- Automotive, retail, franchise, or dealer marketing experience is highly preferred.
